Project Report Presentation Add-In

The Project Report Presentation Add-in for Microsoft® Office Project 2003 makes it easy for you to create a Microsoft Office PowerPoint® 2003 presentation directly from your Project 2003 project schedule.

To create a presentation, all you need to do is open your project, click a button, and select the project tasks and fields that you want to include in your status report presentation. The Project Report Presentation Add-in creates a PowerPoint 2003 presentation that includes a table displaying the status for the tasks and fields you selected. You can edit the table, as well as the other slides in the presentation, to include any other information you want to present.

To begin you need to download the “Office 2003 Add-in: Project Report Presentation.” After downloading the file, PRPSetup.msi, double-click on the file to execute it and run the setup program

If you accept the defaults, then the PowerPoint Project Report Presentation Add-In will be installed in the following directory: C:\Program Files\Microsoft Office Tools\Project Report Presentation.

After installation, there will be a new button present when you open Project 2003 that looks like Figure 1.

When you have a project plan open in Project 2003 and then click on the new “Create Preport Presentation Button”, you will see a dialog box open offering you options for what to include in the report, as in Figure 2.

Note that in the left-hand corner you can select the Tasks that you want to include in the report. You also have a choice of a list view (as shown) or you can select the tree view from the “View” drop-down box in the upper right section of the dialog box.

One of the most pleasing aspects of this tool is that you can also specify which fields you want to include. When you click on the “Available Fields” tab, you see a display as in Figure 3.

After you have selected the fields you desire to include in the report, then click on the Create Presentation Button. A PowerPoint presentation of your Project Plan data will be created and displayed for you as in Figure 4.

Microsoft lists a few tasks that you should complete before your report is ready to be viewed by others:

  • Replace placeholder text with information about your project.
  • Delete slides that contain information you don’t want to include in your presentation.
  • Create slides for additional information you want to include in your presentation.
  • Change the slide background (optional).
  • Change the information or style of the slide footer (optional).
  • Change the style and size of the text on the slides (optional).
